AI receptionist vs a human receptionist

Updated

A human receptionist is better at everything that needs judgement, warmth and reading a situation, and is available for the hours you employ them, one call at a time. An AI receptionist answers every call at once, all night, in several languages, and writes down what each caller wanted; it is worse at anything unusual, and it should hand those calls to a person. Most businesses do not choose one: they keep the person and stop losing the calls that person could never have reached.

Side by side

What each one actually does

Written as the owner of each would recognise it. Nothing here is a claim about a named company.

WhatAutoCallDeskA human receptionist
Hours coveredEvery hour, including nights, Sundays and festival days. The hours you employ them, less leave and breaks.
Calls at the same timeAny number at once. A second caller never hears a busy tone.One. The rest ring out or wait.
JudgementHandles what it has been given information for, and hands over the rest.Reads the situation, and decides. Better at this than any AI.
An upset customerShould pass the call to a person, and is configured to.The right answer. This is what people are for.
Record of the callEvery call written down, against the customer, with what they wanted. As good as the notes they had time to take.
LanguagesEleven, chosen per business, switched by the caller mid-call.The ones that person speaks.
CostA monthly package. No salary, no leave, no replacement to train.A salary, and the cost of the desk being empty when they are not there.
What happens when they leaveNothing. What the business knows is in the platform, not in a person.Their knowledge of your customers leaves with them.

The other side

Where a human receptionist wins

Every one of these is real, and if one of them describes your business you should choose it. A comparison worth reading has to be able to lose.

  • They read the room

A caller who is upset, grieving, confused or being difficult needs a person, and no amount of configuration changes that. A good receptionist knows within three seconds which call this is.

  • They do everything else too

The person at your front desk greets walk-ins, signs for deliveries, makes tea for a waiting customer and notices that the printer is out of paper. An AI answers the phone.

  • They build a relationship

A regular customer who knows your receptionist by name has a reason to keep calling you rather than somebody cheaper. That is real commercial value and it is not reproducible.

Deciding

Which one is for you

Choose AutoCallDesk

You are losing calls (after hours, when the line is busy, when everyone is with a customer) and you cannot justify a salary to catch them.

Choose a human receptionist

Your calls are few, personal, and the relationship is the product. Keep the person, and let them keep it.

Questions

What people ask about this

Will an AI receptionist replace my receptionist?

It should not, and most of our customers do not use it that way. It answers the calls a person could not have taken (after hours, or while they are already on another line) and passes anything that needs a person to them, with what the caller already said attached, so nobody repeats themselves.

Can the caller tell they are talking to an AI?

Usually, yes, and it does not pretend otherwise. What matters to a caller is being answered, understood, and either helped or put through to somebody who can help. A call that is answered honestly by an AI beats a call that rings out.

What happens when the AI cannot handle a call?

It hands over to a person. A live transfer where somebody is available, and a task with the full conversation attached where nobody is. Every escalation route has to end with a person holding something, or the platform refuses to publish the configuration.

Give your business an AI employee.

Start with one job. Add more when you need them. Nothing goes live until you say so.

Or talk to a person first.
