AI appointment booking
A diary that fills itself, and never double-books
Booking is not a calendar. It is your hours, your people, what each of them can do, how long it takes, what is already booked, and the fifteen minutes between jobs that nobody writes down.
What it sounds like

CustomerThursday at four is free with Sameer, or half nine Friday. Which suits?
AIThursday. Actually — will it be Sameer? He knows the site.
CustomerIt will be Sameer. Holding four o’clock now while you confirm.

Why this exists
The situation this fixes
Booking by phone means somebody has to be free at the same moment the customer is. Booking by form means the customer picks a slot that turns out not to exist. Both end in the same call: "actually, can we move that?"
How it works
Step by step
- 01
It works out real availability
From your opening hours, your people and their skills, service duration, buffers, breaks, holidays and what is already booked — not from an empty grid.
- 02
It holds the time while they decide
The slot is held during the conversation, so it cannot be taken by the next caller mid-sentence.
- 03
It confirms, moves and cancels
Including offering the next best time when the one they wanted has gone.
- 04
It reminds them
On the channel they actually reply on, at the point you chose — which is most of what fixes people not turning up.
When a person takes over
Where the AI stops
A customer who wants something the diary cannot offer, or who is unhappy about a change, reaches a person. Where you have asked for it, a booking can also stop at pending approval so somebody looks before the time is committed.
Questions
About this job
Can two customers book the same slot at the same time?
No. AutoCallDesk prevents double-booking in the database itself with a constraint that rejects overlapping bookings, rather than relying on the AI to check carefully. Two people asking at the same instant results in one booking and one offer of an alternative.
Does it know which of my staff can do which jobs?
Yes. AutoCallDesk matches a booking to people by the skills, services, locations and working hours you have configured, so a time is only offered when somebody who can actually do the work is free for it.
Can I require a person to approve bookings before they are confirmed?
Yes. AutoCallDesk supports confirming automatically, requiring approval on every booking, or requiring it only when a rule you set fires — such as short notice, a high-value service, or a new customer. A pending approval holds the slot, so approving one that has since been taken is not possible.
